Creating Holds in the Patron's Record

There are several ways to create a hold for a patron. You may either start at the patron’s record or in the item record.

Creating a hold in the patron’s record:

Go to the “Assist Patrons” module and either scan the Lynn ID or search for the patron’s name.

 

Click on the Holds tab and then click on Create Hold.

 

The pop-up message will say “Create New Hold Request”

 

 

You will then need to choose “Title Level” or “Item Level” hold.

 

 

EXAMPLE:

Let’s say we are looking for the title The Life and Opinions of Tristram Shandy by Laurence Sterne. After typing the title in, we click on “Find.”

 

Look through the list of search results until you find the one the patron wants. If you're not sure, ask!

 

When you click on the title, you will then be shown this screen:

 

 

Click "Save Changes." You have created the hold successfully when it appears in the patron record.

 

 

Creating a Hold in the Item’s Record

Creating a hold in the item’s record:

Start by selecting the “Discover Items” module.

Type in the title, author, or whatever information you have into the "Term(s) Search box.

 

 

Select the correct title and click on it. That will bring you to the item record.

 

 

Click on View/Edit, then click on Place Hold on the top right of the screen.

 

 

That will cause a box to pop-up on the screen. Type in the patron name or ID number (don't forget the 00 at the beginning!) and click FIND. You will get another pop-up on top of the first:

 

 

 

Click on the highlighted name (or ID number) to get a new pop-up box. Note that you have the option to make this hold the first one in the queue. Use this judiciously! You might use this if it is for a librarian or a professor, but probably not a student although there may be exceptions. Trust your instincts.

 

 

Click "Save Changes" which will bring you back to the item record. Always pull up the patron record at this point to make sure the hold is attached to the right record. Go back to Assist Patrons, scan the ID or type in the number or name.

Click on the "Holds" tab across the top. You should then see the title you placed on hold.

 

 

Pull List

How to Check the Pull List

  • Please check the Pull List at the start of every shift.
  • In WorldShare, under Circulation, look for “Reports” and then “Pull List.”
  • Click “Refresh” to see the most recent version of the list.

 

Either print the list, copy it down or take a picture with your phone. You are going to need those call numbers to find these items.

Go upstairs and locate the items on the list, and bring them back down to the Information Desk.

If you can't find an item:

  • Check the entire shelf
  • Check the shelf above and the one below
  • Check any similar call numbers
  • Check the reshelf cart
  • If you still can't find it, ask a co-worker to help. Sometimes a second pair of eyes is all you need.
  • If both of you can't find it, let the librarian know that the item is missing.

 

How to Process Holds

  • Go to Check In
  • Scan the barcode on the first item

 

  • The first thing you should notice is the orange alert that says there is a hold on the item. This can happen when you are checking in anything, so always, always look at your screen!
  • Note the Receipt Option is "Do Not Print" but that there is an arrow indicating a drop-down menu. Select the Epson Printer from the list, then "Check In" again.
  • This will generate a receipt in a print preview box. Select "Print" and a receipt will come out of the small printer at the desk.

 

 

  • Once the receipt is printed, highlight the patron's name.
  • Rubberband the receipt to the item so that the name is visible and shelve it alphabetically by patron on the Holds Shelf behind the Information Desk.

 

You can check the patron record and see that the hold is now available.
